ABOUT THE ROLE
The Philanthropy Coordinator is a key member of YBCA’s development team, providing critical support to the Director of Philanthropy and handling important tasks across all giving pathways, contributing to the success of Major Gifts, Membership and overall investor engagement at YBCA.
The ideal candidate for this position will be proactive in advancing what’s needed for team and cross-team collaboration through the creation of draft agendas, detailed notetaking, administration of fundraising tools and reports, and tracking of time sensitive action items. Having recently transitioned our CRM from Tessitura to Salesforce, this position serves as the development team’s CRM power user, troubleshooting issues and ensuring our fundraising and membership initiatives use Salesforce to its full potential.
The Coordinator advances cultivation, stewardship and engagement through a variety of ongoing tasks, including assisting with the design, implementation and tracking of annual fundraising campaigns, compiling prospect research reports, tracking pipeline development and moves management in Salesforce, and supporting small- and large-scale meetings and events with donors and funders, among others. This position is responsible for ensuring we are responsive, regularly connecting with and honoring the preferences of YBCA’s members and donors, administering communications, acknowledgments and crediting with a goal of fostering a culture of engagement and care.
RESPONSIBILITIES
CRM and Administration
- Provide administrative support including maintaining timelines, calendars, meeting agendas, talking points and notetaking, and tracking follow up activities with internal and external stakeholders as necessary;
- Play key role in the administration of YBCA’s CRM, taking the lead as the development team’s Salesforce Power User by collaborating across teams, understanding all the development functions of the CRM database, testing upgrades, maintaining development-related user manual, developing processes and training others in best practices;
- Process gifts received and implement contribution data entry and management in Salesforce, including identifying opportunities to further streamline data-entry processes to ensure accuracy;
- Maintain monthly development goal reports and reconcile with finance team;
- Collaborate with finance team to support end-of-year reconciliation for annual audit;
- Assist with raffle activities, including YBCA contribution entry and customer service interactions.
Stewardship, Cultivation and Engagement
- Provide support for stakeholder engagement;
- Effectively articulate YBCA’s mission and programs and provide superior customer service in all interactions with donors, members, and other investors;
- Draft and send fulfillment packages and acknowledgments in a timely manner;
- Draft member and donor communications for review and distribution;
- Support pipeline development and management of donor lifecycle;
- Prepare prospect research reports in support of board recruitment and annual fundraising;
- Provide support for the planning, development, coordination and implementation of giving campaigns;
- Maintain digital donor files;
- Track proper credits for funders and donors on all print materials and web;
- Regularly update and edit member and donation pages on YBCA.org, ensuring content remains current and compelling;
- Maintain and update YBCA’s public profiles on nonprofit rating sites (Charity Navigator, Guidestar, etc);
- Support planning and implementation of events for donors, members, funders and other investors;
- Other duties as needed.
POSITION REQUIREMENTS
- At least 2 years demonstrated experience in administrative work; development-related work for a nonprofit preferred.
- Demonstrated CRM database experience in Salesforce (preferred), Tessitura, Raiser’s Edge, or similar software required.
- Excellent written, verbal and interpersonal communication skills.
- Capacity to effectively manage multiple tasks under pressure of deadlines.
- Thrives in a highly collaborative environment that values diversity, equity, inclusion, and access, and works effectively with people of varied backgrounds, experiences, points of view, and aspirations.
- Strong organizational skills, with particular attention to detail and ability to multitask.
- Ability to work effectively as a team member, resolving issues and developing strategies for development efforts.
- Proficiency with Microsoft Office (especially MS Word and Excel) and G-Suite (gmail, gcal, slides, and google drive); Monday.com, Pardot and Veevart a plus.
