Position Overview
This is an on-site position with variable hours and limited opportunities to work remotely depending on the needs of the Supervisors.
This position supports two of our Rabbis in all of their work at Wilshire Boulevard Temple both administratively and involving program management. Currently, along with her responsibilities as a congregational rabbi, one of our Rabbis runs the Choosing Judaism program and other adult learning opportunities. Our second Rabbi produces multiple adult programs at the Temple. In addition, she teaches many adult education classes and series including but not limited to Women’s Torah Study, Adult B’nei Mitzvah, and Adult Confirmation. The program and class selections may change but the role of the Administrative Assistant remains to support the Rabbis’ professional activities.
Program Management:
- Perform all planning duties to successfully produce the given program or learning series including all calendaring, communications – internal and external, meeting the needs of the speakers and participants, ticketing, responses, attendance, obtaining materials, coordination of AV and other production requirements. Update and manage program information in all Temple systems. Confirm event logistics with appropriate departments
- Attend programs and classes as directed by the Rabbis to
- create relationships with the attendees
- register participants
- problem solve, if needed
- The specifics of each event/program/class may vary and the Administrative Assistant is expected to foresee requirements for successful implementation.
- Attend Event Staff Meetings and weekly campus calendaring meetings.
Choosing Judaism:
- Responsible for receiving all of the responses and registrations for the overall program – from the summer and winter communications
- Answer questions for registrants and put them in touch with the appropriate rabbi for more specific information
- Create rosters for the two cohorts
- Assist Rabbis with the details of the Westside program including communications with the registrants. (Eastside to be handled by others).
- Share information with eastside responsible folks so that it feels like one program on two sides of town.
- Assist Rabbis with scheduling the Beit Din and Mikvehs for westside cohorts.
Administrative Support:
- Be the “right hand person” for our Rabbis including becoming familiar with their work styles and communication preferences and for the congregants whom they serve.
- First contact for members, visitors and callers to the Rabbis’ offices.
- Handle incoming calls with professionalism, tact and discretion.
