JOB DESCRIPTION:
WeSPARK is seeking a candidate to assist the Executive Director with managing the day-to-day functioning of our cancer support programs. The ideal candidate should be detail oriented, highly organized, have excellent time-management skills and demonstrate compassion for individuals with cancer and their loved ones.
DUTIES AND RESPONSIBILITIES:
- Point of contact, Liaison to the Facilitators & Instructors (independent contractors)
- Managing the facilitators/instructor’s schedules, vacations and substitute fill-ins for classes, workshops and support groups. Train Office Manager as backup.
- Assisting the Controller with processing new hire independent contractor agreements.
- Coordinating new hire orientation.
- Assisting and coordinating with the Clinical facilitators the training and shadowing for new hires.
- Assisting the Clinical facilitators and Executive Director with guest issues pertaining to programs.
- Collaborate with the Executive Director on program development, design, evaluation and project management, development of surveys, data collection, program planning and growth.
- Manage the development of in-person and hybrid programs.
- Oversee and manage quality control of program goals and achievements that are related to the organizations mission.
- Schedule and attend monthly clinical meetings.
- Manage and maintain the monthly program calendar.
- Schedule and assist the Executive Director with interviewing new facilitators/instructors.
- Work closely with the Office Manager on best ways to manage program policies and procedures.
- Assist Guest Services as needed.
- Facilitate conflict resolution as needed to ensure satisfactory program service delivery.
- Provide program reports as requested to the Executive Director.
- Support Outreach Manager with outreach efforts and community events.
- Expected to work all fundraising events (5 per year) and occasional programming events outside of regular business hours.
- Other duties as assigned.
CANDIDATE REQUIREMENTS:
- Bachelors Degree – Required
- Bilingual – Spanish Speaking/Written – Required
- Prior Program Coordinator, Assistant or Management experience – Required
- Prior nonprofit or community organization experience – Preferred but not required.
- Proficient working level of Microsoft Office Suite (Word, Excel, Outlook) – Required
- Proficient working level of Zoom – Required
- COVID-19 Full Vaccination (prior to start date) – Required
- Car, Valid Drivers License & Current Auto Insurance – Required
