Job Summary

Wellness and Community is seeking a creative, self-motivated and organized Events and Engagement Coordinator to host an array of programs, events, and services to strengthen UCSF’s commitment to the wellbeing of its faculty, staff, trainees and students. Reporting to the Associate Director, the Events and Engagement Coordinator will develop fun and interactive work-life experiences that promote a culture of wellness, community, equity, inclusion, and belonging amongst UCSF.

The Events and Engagement Coordinator is responsible for community building and engagement programs, event coordination, and manages department sponsored programs such as: UCSF Recognize (an on-line recognition platform), UCSF Volunteers, Staff Registered Campus Organizations, UCSF Discounts program, Chancellor’s Staff Appreciation events. Chancellor’s Concert Series. The Events and Engagement Coordinator leads event programming and budget oversight of moderately complex and medium sized events such as music, art, performance, and community-building events for the UCSF community. They manage all event logistics, event planning, and on-site support including volunteer logistics.

Under the direction of the department manager, the incumbent will be responsible for assisting in the planning and implementation of a variety of programs and events that promote wellbeing, engagement and community and contribute to making UCSF an ideal place of employment. Duties include managing logistics such as technical support, facilities requests, outreach activities, and coordinating with event partners including concessionaires, caterers, volunteers, and vendors. The incumbent will assist in the communication of programs and services of the Wellness & Community unit. The incumbent will also work on assigned projects that advance the strategic vision of Wellness & Community. The Events and Engagement coordinator may also provide support and lead events for the larger Fitness and Wellbeing department.

The ideal candidate thrives within a collaborative work environment and has strong interpersonal, written and verbal communication skills to connect with a broad range of clientele and service users. They have evidenced proficiency with technologies for event management and can develop organizational systems to ensure event success. They have proven their ability to prepare and execute in person and remote experiences. The incumbent has solid project management and event planning experience and is experienced in marketing techniques and strategies.

**Note: Primary work location is Mission Bay but serves all UCSF locations; some evenings and weekends; Hybrid role with some days on-site and some remote.

Fitness and Wellbeing Services is part of the parent department Campus Life Services which includes the following units: Fitness & Recreation and Wellness & Community—and is responsible for identifying what employee’s value about a work environment and experience, and then developing and maintaining operations and services to make a positive, valuable, and relevant impact to the work-life experience of UCSF faculty, staff, and students.

Required Qualifications

  • Bachelors’ degree in related area and 3-5 years of experience training and/or an equivalent combination of education and experience.
  • Thorough knowledge and understanding of concepts, principles and practices of event planning and public relations, including event design, organization and production.
  • Aptitude to develop a thorough knowledge of the campus, its vision, mission, programs, policies, achievements and infrastructure. Knowledge of University policies and procedures relating to the use of University facilities, event management and presentation.
  • Demonstrates good judgment in making decisions and managing events. Skill in effectively meeting budget and time constraints.
  • Demonstrated organizational and project management skills to work successfully with clients to produce high quality events that meet client needs and appropriately represent the campus values. Skills to provide excellent donor stewardship for donor funded activities and events.
  • Highly developed interpersonal communication skills including political acumen and social perceptiveness. Excellent verbal and written communication skills to effectively communicate with diverse populations with competing priorities.
  • Highly developed judgment, decision-making and problem recognition / avoidance / resolution skills, including skill in determining those issues / problems that need to be brought to management’s attention.
  • Knowledge of principles and practices of volunteer recruitment, supervision, motivation and evaluation.
  • Ability to effectively work with invited guests, donors, government officials and university VIPs.
  • Knowledge of crowd management, crowd safety protocols, security and emergency procedures related to small, medium and large scale gatherings.
  • Proven ability to work on several tasks simultaneously. Skill at responding effectively to priorities and setting deadlines.
  • Experience maintaining a high standard of productivity within a broad scope of responsibility despite frequent interruptions. Ability to complete large volume of diverse tasks efficiently, meeting established deadlines.
  • Ability to give clear directives and use independent, rational judgment to make optimal decisions.
  • Knowledge and skill to set and monitor work standards and protocols.
  • Ability to physically set-up and break down tables, chairs, tents, equipment and move supplies.
  • Understanding of wellness theories and concepts to apply to events.

Preferred Qualifications

  • Project Management Certification.
