Come join The Crucible as our Faculty Coordinator for the opportunity to use your scheduling and event booking experience in service to a fantastic arts education nonprofit located in West Oakland!

The Faculty Coordinator with the Senior Programs Manager, Director of Programs, department heads, faculty, and the programs and studio teams to manage and coordinate faculty assignments for classes, workshops, and community-focused programs. Responsibilities include sending out information on pending classes to faculty, scheduling faculty, helping manage faculty recruitment, and related faculty communication and support. This role will also manage department and resource allocation for classes and notifying faculty and studio of changes to classroom locations (example: holding a youth ceramics class outside in June vs indoors).

In this role, the Faculty Coordinator will ensure each classroom is reserved appropriately and that faculty members are assigned and confirmed for each class session. They will work closely with our Senior Programs Manager, Data Coordinator, and our marketing and ecommerce team to make sure that planned classes are entered into our store and our CRM with accurate class information, including sizes, pricing, times, and dates. This role also works with Finance to support payroll reporting and reconciliation. Individual tasks include participating in planning meetings, building class data post planning, maintaining lists of active faculty, scheduling faculty, communicating with faculty around scheduled classes and cancellations, and working with department heads and staff to support faculty recruitment.

Knowledge Skills and Abilities

  • Minimum of two (2) years of scheduling or event booking experience—preferably with an established arts education nonprofit organization or equivalent setting
  • Intermediate to advanced proficiency with Google Workspace Suite (e.g., Doc, Sheets, Slides, Drive), MS-Office (e.g., Excel) and Salesforce or related database experience. Willing and able to learn new software.
  • Ability to prioritize, and manage multiple projects and deadlines   
  • Ability to work with a high degree of accuracy and attention to detail
  • Ability to work independently and collaboratively, take initiative, and be proactive around problem-solving
  • Flexibility in communication styles and modes
  • Familiar with Oakland and engaged in the Oakland community

  • Willing to work irregular hours including occasional overtime, evenings, and weekends when required

  • Valid California Driver’s License with an insurable driving record
  • Ability to complete California DOJ LiveScan for youth-serving organizations.

Physical Requirements

This position is primarily located in an office and warehouse environment.  Able to perform the following duties with or without accommodation:

  • Stand, sit, kneel, walk, bend, and perform repetitive motions for the duration of an eight (8) hour shift.
  • Able to operate standard office equipment including computers, keyboard, phones, POS machines, and printers.
  • Traverse safely throughout the entirety of the facility including climbing stairs.
  • Safely lift, move, and transport items weighing up to 20 lbs.
  • Communicate in a clear speaking voice in person, over the phone and during video conferences.
  • Complete COVID-19 primary vaccination series and most recent vaccination booster available.
