The Southeast Asian Development Center (SEADC) is looking for an experienced Administrative Assistant to join the team in our San Francisco office.

ABOUT YOU:

As a member of the administrative team, the Administrative Assistant is the supportive force for both of our offices in Downtown San Francisco, and we are currently seeking someone exceptional to take the helm. The ideal candidate will be a problem solver who has excellent communication skills and impeccable attention for detail. The candidate should also have experience working in an office environment, performing administrative tasks, and providing support to coworkers. An ability to multitask, manage complex schedules, and meet changing deadlines is essential to the position.

Founded in 1977, the Southeast Asian Development Center is a nonprofit organization dedicated to lifting children, youth and families from Cambodia, Laos, and Vietnam out of poverty. Our services are structured around providing low-income and vulnerable Southeast Asian Americans with basic needs and skills critical to building successful futures. ·      Salary Range: $20 – $22 per hour; Full-time

·      Benefits : Employer sponsor medical, dental, vision, 401K with employer match, AD&D, EAP, commuter benefits, 12 holiday days, 10 vacation days and 10 sick days per year. 

·      Work Location: SEADC’s office is located in downtown San Francisco, convenient to BART and other public transit. This position will be working in-person at our office space. 

·      Reports to: Finance & Operations Director 

·      Start Date: ASAP

WHAT YOU WILL DO:

  • Serve as the eyes and ears of the office, providing information, answering questions, and responding to requests from clients & staff
  • Provide front-desk coverage at Eddy Street office by, greeting guests as they enter the office, , and maintaining an organized, clean office environment for both office premises
  • Ensure optimal use of office equipment, supplies, and inventories through preventive maintenance
  • Plan, organize, and schedule company calendar & meetings in the office, off-site, and virtual
  • Maintain filing system, database, and administrative system
  • Organize and oversee office supplies and food deliveries for events & meetings
  • Ensuring office is organized, clean and maintain for the health and safety of clients, staff, volunteers, and guest at the Center
  • Assist with contacting vendors for facility and IT need
  • Assist with entering data into data management systems
  • Organize staff meetings, retreats, and professional development trainings

WHAT YOU BRING WITH YOU:

Education: 

  • High school diploma or equivalent

Experience and Skills:

  • Commitment to the mission of SEADC
  • COVID-19 vaccinated or meet requirements for exception (medical/religious)
  • Able and willing to work at the Center on a daily basis
  • Proven administrative experience
  • Superb written and verbal communication skills
  • Strong time-management skills and multitasking ability
  • Aptitude for learning new software and systems
  • Experience working in a non-profit
  • Proficient with MS Office Suite, MS 365, CRM systems – Salesforce is a plus
  • Strong organizational and project skills; ability to collaborate with people and organize events
  • Considerate, anticipate the needs of others
  • Excellent attention to detail and able to prioritize at a moment’s notice
  • Flexibility and intuition for prioritizing
  • Knowledge of low-income individuals, immigrants, and or English language learners 
  • Demonstrated cultural competency and providing services to underserved populations; verbal and written fluency in a language other than English is desirable (Southeast Asian languages preferred)
  • Ability to work cooperatively on a multi-disciplinary diverse team

Physical Requirements

· Possesses multi-limb and eye-hand coordination

· Able to stand, bend, reach, stoop and lift boxes up to 25 lbs.

· Able to work in a pace environment for extended periods of time

· Able to sit at desk, working on computer and phones for a full work day

· Able to engage in program activities and events which require walking and presenting

· Able to work overtime as needed

· Able to travel locally as needed
