The Accountant plays a crucial role in SEADC’s financial operations, supporting the finance and administration department with comprehensive accounting responsibilities. This position manages the full cycle of accounts payable and receivable, conducts financial closes, prepares tailored financial reports, and assists in budget development and monitoring. The Accountant also oversees payroll processing, benefits administration, and grant financial management. They ensure compliance with accounting standards, maintain financial records, and support audit processes. This role requires strong technical skills, attention to detail, and the ability to collaborate across departments while working independently on finance and accounting tasks. The Accountant contributes significantly to the organization’s financial health and supports its mission through accurate and timely financial management.

This position is supervised by the Director of Operations and works closely with the Finance team on all department goals and projects. While performing the duties of this job, the Accountant will be required to work at a computer and handle paperwork. The Accountant will have a larger volume of work toward the end and start of the organization’s fiscal year.

Position Title: Accountant

Compensation: $66,560-69,300/year DOE,

FLSA Status: Exempt; Full time, expected hours of work 37.5 hours per week

Responsibilities

Financial Management and Reporting

  • Manage the full cycle of accounts payable and receivable, including processing invoices, preparing bi-weekly check runs and ACH transactions for approval, and resolving vendor discrepancies in a timely manner
  • Conduct monthly, quarterly, and annual financial closes in collaboration with a controller, adhering to strict deadlines for close-out reports
  • Prepare comprehensive financial reports tailored for different stakeholders, including but not limited to:
  • Monthly budget vs. actual reports for senior leadership and management
  • Quarterly financial summaries for the board of directors
  • Detailed grant expenditure reports for funders
  • Work closely with the Director of Operations and controller to develop the annual organizational budget and monitor financial progress against identified performance indicators
  • Support the annual audit process, preparing detailed schedules and providing documentation to external auditors, with the goal of maintaining the organization’s track record of clean audits

Accounting and Bookkeeping

  • Maintain meticulous financial records in the organization’s accounting system (e.g., QuickBooks Online), ensuring all transactions are coded according to the organization’s chart of accounts
  • Process diverse income streams, including government contracts, individual donations, foundation grants, and event-related revenue
  • Manage daily cash receipts process, including depositing checks via mobile upload, visiting the local bank, reconciling online donations, and preparing daily cash receipts listings
  • Track and report on multiple restricted grants and contracts simultaneously, often managing 5-15 active grants with varying reporting requirements
  • Prepare and file 1099s for 10-30 independent contractors annually, maintaining up-to-date vendor files for audit purposes

Payroll and Benefits Administration

  • Process semi-monthly payroll for 25+ employees, ensuring all approved timecards are submitted by the internal deadline. Supporting the Operations team in transitioning the organization to a new HRIS/payroll system.
  • Manage employee data in HRIS system, including the financial responsibilities related to onboarding new employees annually and processing terminations
  • Generate monthly payroll variance reports for management review, highlighting any unusual fluctuations
  • Assist HR with benefits administration, including but not limited to:
  • Preparing monthly insurance schedules for health, dental, and vision plans
  • Tracking and reporting on PTO accruals and usage quarterly

Compliance and Documentation

  • Ensure timely and accurate data entry into the organization’s integrated finance platforms, including QuickBooks Online, Bill.com, and Salesforce
  • Maintain strict confidentiality of financial and employee information in compliance with GAAP, HIPAA, and organizational policies
  • Organize and maintain digital and physical financial records, ensuring easy accessibility for the annual audit and periodic funder reviews

Collaboration and Professional Development

  • Serve as the primary financial point of contact for program managers, providing monthly budget updates and assisting with financial decision-making
  • Participate in staff meetings, annual staff offsites, and additional meetings as necessary
  • Collaborate with the development team to reconcile donation records between the accounting systems and Salesforce CRM on a weekly basis

Organizational Context

  • Operate within a collaborative team structure, but must be comfortable working independently on financial tasks
  • Adapt to evolving funding landscapes and occasional urgent financial requests from leadership or funders

Qualifications

Education

  • Bachelor’s degree in Accounting, Finance, or related field
  • Additional certifications (e.g., CPA, CMA) are a plus
  • Minimum of 2 years in nonprofit or fund accounting

Desired Skills and Experience

  • 2-3 years in U.S.-nonprofit finance, particularly city or federal government contract billing
  • 2-3 years of U.S.-based accounting experience
  • Grant management and restricted fund accounting
  • Familiarity in audit preparation and compliance
  • Experience in a hybrid office setting
  • Problem-solving skills and initiative
  • Commitment to accuracy, quality, and timeliness

  • Able to work outside of typical business hours as needed (this typically occurs during the end/start of the fiscal year)

  • Pass fingerprinting background check and TB clearance before start date
  • Must already be authorized to work in the United States
