Job title: Temporary Exhibition Coordinator

Classification: Part-time, nonexempt on-site position, Thursday & Friday 10 am to 6 pm with some flexibility.

Benefits: commuter benefits and the base accrual for paid sick leave

Compensation: $25 per hour

Location: Principally based at Creativity Explored, 3245 16 Street in San Francisco, with regular visits to other CE locations

Reports to: Director of Art Partnerships

ORGANIZATIONAL CONTEXT

Creativity Explored is a San Francisco nonprofit that partners with people with developmental disabilities to create an artistic, studio-based collective where the creative capacity of any person can flourish. We do this by placing the work, needs, culture, and experience of artists with developmental disabilities at the center of the community in a way that honors humanity, respects self-agency, and nurtures creative potential.

POSITION OVERVIEW

CE’s Temporary Exhibition Coordinator will play a key role in supporting the growth of CE’s exhibition program and promoting the visibility of our artists and their contributions to the art world. The Temporary Exhibition Coordinator will support the Exhibitions Coordinator in the management of CE’s on-site gallery and off-site gallery program while working closely with the Art Partnerships team and other CE departments.

This role is a temporary position, encompassing approximately 800 hours of work through the end of September 2026 in support of a research project and grant initiative.

Areas of oversight include:

  • Coordinate logistics for on-site and off-site exhibitions, such as creating checklists, consignment agreements, installation schedules, and managing artist travel.
  • Partner with studio artists to assemble applications for exhibition and public art open calls.
  • Update ArtCloud, our data management system, with artwork details including location and exhibition status.
  • Input new artworks into ArtCloud and update sold artworks.
  • Act as a liaison between the gallery and studio teams regarding portfolio reviews, artist support, and upcoming events.
  • Be present in the gallery on Thursdays from 3 pm to 6 pm to interact with visitors and check out customers using our point of sale system.
  • Lead tours of our gallery and studio for school groups, donors, collectors, and other groups.
  • Work with the Exhibitions Coordinator to publicly represent artists via exhibitions, our website, social media, public programs, and across partnerships.
  • Work collaboratively with the Studio Team and artists to conduct portfolio reviews, select artworks for various projects, and craft bios for artists.

KEY RESPONSIBILITIES

  • Assist in selecting, processing, and preparing artwork for exhibitions
  • Process ingoing and outgoing artwork through ArtCloud
  • Assist in artwork installations as needed
  • Manage consignment agreements
  • Support updating exhibition pages on the CE website
  • Conduct artwork sales during gallery open hours
  • Collaborate on applications to open calls, awards, and public art commissions
  • Assist in organizing weekly artist portfolio reviews
  • Update artist bios and CVs
  • Provide tours of the gallery and studio as needed
  • Represent CE artists and conduct sales at off-site pop-up events
  • Work with the Marketing & Brand Partnerships Manager to coordinate content and images for outreach

The Temporary Exhibition Coordinator is expected to work productively in a team environment and to foster open communication with staff across the organization to produce communications that support the organization’s mission and goals. They are also expected to work towards embodying the four components of CE’s Staff Philosophy: Community, Creativity, Collaboration, and Compassion.

The Temporary Exhibition Coordinator will comply with established Creativity Explored policies and practices.

KEY SELECTION CRITERIA

  • Education preference: BA or BFA in Studio Art, Art History, Museum Studies or a related field
  • A strong connection with CE’s mission
  • A minimum of x2 years of related gallery or arts organization experience required
  • Valid CA Drivers License
  • Team orientation with demonstrated ability to work effectively with diverse groups of people
  • Outstanding interpersonal and verbal/written communication skills
  • Strong data and project management skills including comfort with Google suite, Squarespace, and Excel
  • Experience with ArtCloud preferred
  • Retail experience preferred

TRAINING REQUIREMENTS

  • Complete and maintain CPR, First Aid, and AED certification (initial certification to be completed within 30 days of date of hire)
  • Workplace Harassment Training
  • Complete Creativity Explored staff training pertinent to position job responsibilities as assigned

OTHER INFORMATION

The Temporary Exhibition Coordinator is a nonexempt, contracted part-time position. All work takes place in person, during M-F business hours, but may vary due to organizational needs and may include occasional Saturday work.

Creativity Explored requires all staff to be fully vaccinated against COVID-19 and provide proof of vaccination upon hire. Offers are subject to satisfactory Criminal Records Clearance and proof of negative TB test results completed within the last year.
