Position Summary

This position is responsible for donor & funder operations including responsive donor/funder relations and overall donor/funder relationship management, complex gift & asset management, administration of donor & external funds, fiscal sponsorships, and grants management. The manager coordinates with multiple teams including Grants Management, Finance, Legal, and Programs. This role develops and manages processes and procedures for efficient service delivery to customers, including digital transformation and technology enhancements for customers.

Major Responsibilities

  • Customer Relations: Provides responsive and comprehensive customer service to high-net-worth donors, major funders and system leaders with professionalism, timely attention to detail and coordination with other teams including Development and Donor Relations, Programs, Grants Management, IT and Accounting teams. Serves as an expert on operations related to prohibited activities and due diligence, including allowable fundraising and grantmaking activities.
  • Gift Acceptance, Asset Management  & Business Development Operations: Works internally and externally to shepherd assets to CCF. Maintain outstanding communication with staff, individuals, financial advisors and institutional funders with complex operational needs. Function as point person on complex asset management and liquidation processes, engaging with CCF Leadership, Legal, Finance and other key stakeholders (e.g. escrow representative or financial institutions). 
  • Technology, Data Operations and Oversight: Oversees data management, report generation, metrics, and back office functions of development through coordination with departments and other staff. Includes managing activity inputs, key CCF dashboards & reports, data extraction and data analysis. Also includes research for donors, prospects and grantee options. 
  • Assess and Streamline Processes & Procedures: Strengthen and identify areas for problem solving, continuous improvement and process development, implement operational efficiencies and establish metrics and practices to evaluate success of process adjustments. Create, communicate and train staff on procedures and protocols. 
  • Fund Management: Partner with CCF staff in managing and maintaining fund processes, ensuring satisfied customers and implementing risk management practices related to fund processes for the foundation. Ensures adherence to policies and procedures related to grants and fund management. Stays current on IRS restrictions surrounding donor advised funds, as well as common foundation grantmaking practices in order to contribute to the development, maintenance, and implementation of foundation policies and processes.  
  • Program and Initiatives Administration: Manage various programs in collaboration with Development and Donor Relations staff, Grants Management staff, Marketing and Communications staff and Programs staff, including but not limited to aligned fundraising efforts and joint grantmaking opportunities. Also ensures stewardship and cultivation efforts with various relationships (individuals and institutions) are executed on time and meet milestones via reports, convenings, events, mailings, special invitations, etc. 
  • Knowledge Sharing: Implement and conduct staff training, as necessary, to ensure smooth functioning of operations, efficiencies and error prevention/risk mitigation. Including writing memos, training guides and procedures and presentations. Conveys this information clearly and diplomatically, in person, over the phone and in writing.
  • Customer Experience: Advocates for quality customer experience for all CCF constituents in general and online through DonorConnect and other web portals. Audits database to ensure smooth operation of CCF’s customer service processes. Highly responsive to donor requests for information. As a member of the operations team, identifies needs for systemic adjustments to institute operational efficiencies and better serve donors, funders, advisors and nonprofit partners.
  • Mission Orientation: Keeps abreast with the trends, challenges and solutions addressed in the foundation’s key areas of grantmaking. Stays current on developments affecting low-income and vulnerable populations in greater Los Angeles, with focus on education, health, immigration and economic opportunity issues. Identifies and pursues opportunities for internal integration of work across functions and departments to make connections and leverage CCF’s aligned mission.
  • Internal Integration of Work: Identifies opportunities for and integrates the functions and skills of programs, grants management, marketing and communications and development and donor relations to increase the foundation’s focus on systemic change. Identifies and pursues opportunities for internal integration of work across functions and departments to make connections and leverage the strengths and efforts of CCF.

General: As appropriate, assists other departments and works as a member of interdepartmental teams to ensure the effective and efficient operations of CCF.  At all times, demonstrates cooperative behavior with supervisors and coworkers.  Other duties as assigned, dependent on organizational needs and employee skills. 

Qualifications

  • Education: Bachelor’s degree required.  
  • Experience: 5-7 years in the nonprofit, public and/or philanthropic sector required with practical experience in the operations of contributions, deploying charitable dollars, gift intake, database systems, stewardship functions, and grants management. Other relevant experience may be considered.
  • Communication: Excellent interpersonal, verbal and written communications skills. Superior and proven customer services skills. Ability to comfortably interact with diverse audiences as well as nonprofit and community groups.  Ability to understand constituent’s motivations, expectations, goals and nurture relationships over time to create lasting bonds.  
  • Project Management Skills: Excellent organizational skills and attention to detail. Ability to prioritize work effectively and adjust to multiple demands within set deadlines. Ability to design and implement effective processes and procedures.
  • Technology & Database Skills: Internet competency and strong computer proficiency, including mastery of the Microsoft Office software suite and a familiarity with database software, is required. Knowledge of SalesForce, Raiser’s Edge, Financial Edge and grantmaking software preferred.
  • Critical Thinking Skills: Ability to assess, compile and disseminate information and independently complete assignments is necessary.
