Overview
Provide a wide variety of administrative and office functions, ranging from high-level administrative support to clerical functions. Serve as the communications and information hub for the entire agency. Support Board activities as needed.
Principle Accountabilities:
- Project a professional, helpful, and respectful demeanor in all interactions
- On-board new staff, manage staff enrollment in benefit plans, maintain employee records and track compliance with requirements
- Take responsibility for accuracy and smooth functioning of office systems and administrative support
- Support parent fundraising activities and events
- Independently carry out projects while also supporting needs of the administrative staff
- Manage donor database (Salesforce) and gifts, produce reports
- Plan and execute staff appreciation activities and manage and support fundraising events.
- Oversee front office staff
Job Requirements:
Education
- BA degree preferred
Experience
- Minimum 2 years’ experience in multi-faceted office with multiple responsibilities
- Experience with HR processes preferred
- Knowledge of administrative and clerical procedures and systems such as word processing, file systems, designing forms, standard office practices
Skills
- Able to maintain equilibrium and focus in a busy office with multiple demands
- Produce professional documents via Microsoft Office and Google Office
- Excellent verbal and written communication skills (English required, second language welcomed)

- Recruit parent volunteers for various fundraising tasks

Supervisory Responsibilities
- Supervise Receptionist and Office Coordinator

Typical Physical Demands:
- Deliver messages and locate staff on a campus of three buildings, including upstairs spaces
- Lift and move up to 20 pounds of deliveries or supplies
Typical Mental Demands
- Proactively optimize administrative systems including researching options and suggesting changes
- Manage events and fundraising activities, working with staff and parent volunteers to ensure that steps proceed in a timely way
- Engage with a variety of stakeholders in the school (parents, Board, prospective families, staff)
- Direct inquiries to correct staff person
