Compensation: $25.22–$28.61 per hour
Job Overview:
The Program Support staff plays a vital role in the implementation of workforce training programs. This position provides logistical and administrative support for both in-person and online trainings, assists trainers in executing sessions, manages participant communications, and supports data tracking and evaluation. The role also includes responsibilities for documentation and reporting tied to grant deliverables and compliance. Additionally, the Program Support staff contributes to outreach and engagement efforts to help recruit participants and ensure successful coordination of workforce development program activities.
Key Responsibilities:
Training & Program Delivery Support
- Assist trainers in preparing materials, setting up in-person sessions, and managing training logistics
- Provide live tech and coordination support for online sessions (e.g., Zoom, Google Meet)
- Track attendance, distribute materials, and support breakout group facilitation
- Coordinate participant scheduling, reminders, and communications through platforms such as WhatsApp or Signal
Program & Outreach Support
- Assist with the preparation and execution of community outreach events, and workforce development activities
- Assist with outreach to prospective participants and community partners to boost enrollment and engagement in workforce development programs
- Help coordinate logistics for workshops, info sessions, orientations, cohort meetings, volunteer activities, and follow-ups (e.g., securing venues, preparing materials, arranging refreshments)
- Provide support in developing outreach materials such as flyers and social media content
- May occasionally lead or co-facilitate info sessions or community presentations, particularly when introducing workforce development programs and on-the-job training opportunities such as the respite care program
- Help collect and input outreach and enrollment data to track effectiveness and inform program improvements
Data, Evaluation & CRM Management
- Administer and track participant surveys (pre-, mid-, and post-training)
- Input and maintain participant data using CRM systems and internal tracking tools (e.g., Salesforce, Monday.com), and learn to effectively use the organization’s in-house databases and data systems, such as Solidarity Tech and PowerBase
- Compile and analyze training data for reports and ongoing program improvement
- Support with monitoring and evaluating program outcomes and deliverables
Documentation & Grant Deliverables
- Maintain organized records of participant files, attendance, and completed training modules
- Assist in preparing reports and supporting documentation for grant compliance and funder deliverables
- Support tracking of timelines and data related to grant outcomes; assist with uploading materials to shared systems
- Support the submission of monthly, quarterly, and final reports as needed
Administrative & General Support
- Provide administrative support including printing, scheduling, filing, and tracking supplies
- Coordinate communication between program staff, trainers, and external partners to ensure timely and accurate information sharing
- Collaborate with the communications team to plan and schedule social media posts aligned with program goals and messaging
- Maintain and organize program supplies and training materials
Required Qualifications:
- Knowledge of and experience with immigrant worker issues
- Experience with administrative implementation required for case management or direct services provision to community members
- Familiarity with workforce development software or platforms (e.g., Salesforce, Canvas, LinkedIn Learning, CalJOBS, or other CRM-adjacent systems like Monday.com) is preferred
- Excellent verbal and written communication skills, with the ability to communicate complex ideas simply and clearly
- Interpersonal skills to establish and maintain positive relationships with staff, volunteers, and community members from diverse social, economic, cultural, and educational background
- Ability to prioritize and handle multiple tasks
- Must have good presentation skills
Preferred Qualifications:
- Bilingual or multilingual; fluency in Tagalog/Filipino (spoken and written) is preferred, and proficiency in other Filipino languages (e.g., Cebuano, Ilocano, Kapampangan) is a plus
- Experience working with caregivers or in caregiver-focused programs
- Proficiency in database and CRM management systems
- Strong computer skills, including proficiency in Microsoft Office Suite
- Ability to work collaboratively across teams and departments
- Effective conflict management and interpersonal communication skills
- Experience in outreach, relationship-building, and partnership development with local and national stakeholders, nonprofits, foundations, and community organizations
Physical Requirements:
- Driving is required for this position; must have a valid driver’s license and access to a reliable vehicle
- Ability to travel locally for community outreach and meetings with clients, community members, partners, and key stakeholders
- Ability to travel out-of-state for meetings, conferences, and retreats
- Ability to work flexible hours, including evenings and weekends
- Must be able to lift and move items such as folding tables, conference chairs, boxes of printed materials, training supplies, and similar items (approximately 15–30 lbs)
Employment terms:
- Part-time, temporary until grant end date, extension contingent upon grant extension or funding availability
