Overview
Summary of Job: The Guest Services & Hospitality Lead helps to ensure a consistent practitioner and teacher experience as it relates to the presentation of the public spaces and welcoming environment at Spirit Rock. There is a strong focus on maintaining a supportive environment through the day-to-day operational tasks of this role as well as the direct supervision and management of the hospitality staff and vendor group. A desire to serve and create a welcoming and inclusive atmosphere on campus is important in this role.
Specific Responsibilities:
Supervisory
- Oversee all housekeeping, janitorial, and guest services areas of the Spirit Rock Campus
- Direct supervision of 8-10 departmental staff, which includes residential caretakers, non-residential caretakers, and extra-hire status staff. (Please note – The residential caretakers participate in a staff dharma program which includes one paid day per week for their study.
- Direct supervision of volunteers and vendors
- Daily scheduling of all staff, volunteers and vendors. Schedules vary in association with the every-changing retreat schedule.
- Scheduling of the emergency overnight contact assignment amongst Resident Caretakers
- Manage day-to-day work orders and assign tasks as appropriate
- Ongoing training/mentorship of departmental staff
- Quarterly (or regular) coordination with hiring team to interview candidates for Residential and Extra Hire positions
- Facilitate ongoing evaluations and improvement of performance with staff
- Responsible for the departmental budget planning and maintenance for contract services, equipment and supplies including annual budget estimates, processing invoices and tracking expenses.
Hospitality & Guest Services
- Coordinate retreat and event support logistics, including pre-planning and arrivals/departures for all residential retreats and day-long events
- Coordinate all special equipment needs such as electronic scooters and other accessibility needs
- Oversee guest parking support and coordination
- Participate in pre-retreat facilities inspections and resets to help prepare for the arrival of practitioners
- Collaborate with all other departments, including registration, retreat operations, and kitchen operations, to ensure a consistently supportive and welcoming practitioner experience
- Ensure the cleanliness of the Spirit Rock facilities which includes supervising Caretaker staff and filling in for Caretaker duties as needed.
Safety
- Ensure a safe working environment for staff and volunteers
- Assist with compliance on CalOSHA safety standards
- Assist with oversight of Spirit Rock’s Injury Illness Prevention Program (IIPP)
- Ensure the appropriate level of training for all staff in your area
Qualifications
- 2-3 years’ experience as a supervisor in the hospitality/guest services industry
- Prior experience in a similar role(s) at a retreat is a plus
- Experience with health, safety, and emergency management issues
- Excellent written and verbal communication skills
- Proficient in using digital tools such as MS Office, Excel, Google Sheets/Docs, Web-based Work Ticket system
- Ability to work in a collaborative “team” atmosphere
- Positive approach to supervision and relationships
- A sincere interest in the exploration of bringing mindfulness to all activities of daily life
Working Conditions
- Ability to work outdoors much of the time with exposure to seasonal weather conditions
- Flexible schedule with the ability to work weekends as per the needs of the program calendar
- Ability to sit, walk, or stand for extended periods, including walking up and down stairs, ladders, and hillsides
- Ability to lift, carry, push or pull objects up to 40 pounds
- Ability to perform moderately difficult manipulative tasks
- Ability to communicate clearly on a telephone and walkie-talkie
- This position will be exposed to chemical substances typical for maintenance, janitorial and landscaping work.
- Must be able to regularly speak and write in English
- Specific vision abilities required are close vision, middle-distance vision, and color vision
- Ability to safely drive motor vehicles, vans, and golf carts
